Description

This is an 8 hour per day, 260 days per year Administrative Assistant I - District Office/HR Receptionist position with benefits at the district office.

 

Hours of work for this position are from 8:00 a.m. to 4:30 p.m.  The anticipated start date for this position is as soon as possible.

JOB SUMMARY:

Perform reception duties for the District Office and provide various clerical assistance for the Human Resources Department.

 

TYPICAL RESPONSIBILITIES AND ESSENTIAL FUNCTIONS:

  • Answer phones for the purposes of screening calls, transferring calls, assisting job applicants, responding to inquiries and/or taking messages from parents, staff, students, applicants, vendors and the general public; direct inquiries to appropriate personnel. Greet visitors and assist with their varied needs.
  • Process varied documents including employee timesheets, correspondence, daily calendar of room availability for District Office, U.S. and inter-district mail, reports, or other documents as assigned. Word process, type, copy, collate, sort, file, scan documents and distribute as needed.
  • Maintain the receipt and distribution of Washington State Sexual Misconduct Disclosure Release Form (SPI 1588); facilitate the collection of reasonable assurance letters and related paperwork for substitutes.
  • Assist the Elementary and Secondary Education Departments with receiving and processing student variances.
  • Assist the Student Services Department with summer school inquiries and receiving payments.
  • Assist with student information requests through the student information system.
  • Enter work orders and facility use requests electronically into the district’s designated software program.
  • Serve as primary back-up and provide support for the Administrative Assistant I, Substitute Facilitator.
  • Assist the Human Resources Department with various functions and projects including filing, preparing new employee files, processing and tracking fingerprint card submissions, and assisting with processing onboarding paperwork for new employees. Provide support with the interview process for all district hiring, as required.  Reconcile absences for HR department staff.
  • Process and manage supply orders, distribution, and inventory. Maintain and rotate inventories on a regular basis.
  • Maintain records of all credit card charges for HR Department and reconcile monthly credit card statement.
  • Operate office equipment including telephone, computer, copier, scanner, printer, fax.
  • Work effectively across cultures, demonstrate ability to engage with diverse communities, and be sensitive to the needs of diverse clientele.
  • Maintain regular and punctual attendance.
  • Comply with District policies.
  • Perform other duties as required or assigned by supervisor for the purpose of maintaining an organized and efficient environment.

 

JOB REQUIREMENTS: MINIMUM QUALIFICATIONS

  • Ability to learn and effectively apply various software programs related to job responsibilities.
  • Knowledge of or ability to quickly learn the Frontline Absence Management (Aesop) software system.
  • Ability to complete multiple tasks simultaneously with frequent interruptions.
  • Ability to maintain regular and punctual attendance.
  • Ability to demonstrate effective cross-cultural communication skills and culturally responsive practices.
  • Ability to identify and address personal, cultural, and institutional bias.

 

EDUCATION/TRAINING:

  • High school education or its equivalent.
  • Word process with accuracy at 40 wpm.
  • Ability to speak and read Spanish preferred.

 

EXPERIENCE:

  • Applicable office or clerical experience.
  • Previous school district experience preferred, including experience in a Human Resources environment also preferred.
