JOB TITLE:                         Administrative Assistant III – Elementary Education Operations

                                             and Student Services

 

CLASSIFICATION:             Office/Accounting - MACP

 

REPORTS TO:                    Executive Director of Elementary Education and Director of

                                             Student Services

JOB SUMMARY:

The Administrative Assistant III is responsible for assisting the Executive Director of Elementary Education and the Director of Student Services in providing a variety of support services to the District’s elementary programs, student services, staff, administration and parents.

 

PERFORMANCE RESPONSIBILITIES AND ESSENTIAL FUNCTIONS:

  • Provide secretarial services including letter composition; bulletins; newsletters; schedule appointments and conferences; make travel arrangements; assist with preparation of staff evaluations; preparation of district reports for the school board, superintendent, and state as directed; analysis of information; maintenance of databases; prepare purchase orders; order supplies and maintain inventory; sort and distribute mail and interoffice mail deliveries daily.
  • Assist the Executive Director in implementing the highly capable program grant and administering the summit program.
  • Assist with the eligibility process for the summit program and the middle school honors program.
  • Serve as a liaison between staff, parents, principals, administrators and other individuals communicating with the executive director of elementary education.  Responsible for answering phones, study-trip requests, incident reports, principal reports, absence reports and calendars.  Assist with preparing personal service contracts and personnel action request (PAR) forms as directed. 
  • Process elementary out-of-district variances, non-service applications, elementary suspensions, early entrance applications, kindergarten guidelines, co-curricular guidelines and co-curricular activity schedules. 
  • Prepare BEA forms and BECCA reports.  Develop knowledge of and support for before and after-school programs, the elementary music program and ECEAP operations.  Assist in preparation for staff development.  Prepare meeting agendas and minutes, OSPI reports, fiscal files, and CPS reports.
  • Data entry, copy, collate, sort, and file documents, including the use of List Serve and the District website.
  • Establish and maintain professional interactions with students, staff, parents and the public.  Assist with student and staff needs, and respond to inquiries from parents, staff and public daily.
  • Develop and maintain an organized office including record management, an effective filing system, maintain accessibility of information, prioritize tasks and complete tasks in a timely manner, and provide for record maintenance and retention management in compliance with district policy and state guidelines.
  • Assist with district office receptionist services.
  • Comply with District Policies.
  • Perform other duties as required or assigned by the executive director of elementary education or director of student services for the purpose of maintaining an organized and efficient environment.

JOB REQUIREMENTS: MINIMUM QUALIFICATIONS

  • Knowledge of and ability to use various software programs related to the job responsibilities including Aspen, Outlook, Excel, Word, Publisher and other Microsoft Office software programs.
  • Ability to complete multiple tasks simultaneously with frequent interruptions.
  • Ability to maintain consistent presence at assigned worksite and regularly work assigned hours.
  • Knowledge of and ability to use a computerized student record management system, preferred.

Education: 

  • High school diploma or its equivalent.
  • College degree and/or additional training beyond high school, preferred.

Experience: 

  • Word process with accuracy at 60 w.p.m.
  • Five (5) years of applicable office or clerical experience, including office management (preferably in a public school setting).  Vocational or technical clerical training may substitute for work experience.
  • Previous school district experience, preferred.
